Project Delivery Stages

How We Work

We follow a structured six-stage approach to every project, ensuring clear communication, measurable progress and successful implementation.

01

Discovery

We understand your current systems, business processes, challenges and goals to identify where AI and automation can create the most value.

What Happens

We conduct an in-depth audit of your existing software applications, database topologies, manual data transfer points, and system access permissions.

Client Inputs

Access to relevant software accounts, system architecture documentation, and a 60-minute briefing with your operational leads.

Client Receives

Systems audit inventory, feasibility matrix, identified automation bottlenecks, and approved project timeline.

02

Business Analysis

We analyze your workflows, data flows and operational requirements to determine the best automation approach and AI integration strategy.

What Happens

We evaluate data dependencies, define validation rules, model operational exception handling, and establish baseline performance metrics.

Client Inputs

Sample data records, edge-case scenarios, business logic rules, and confirmation of security/compliance requirements.

Client Receives

Detailed technical specification document, automation logic flowcharts, and finalized milestone schedule.

03

AI Architecture

We design the technical solution including system integrations, AI components, workflow automation and data pipelines tailored to your business.

What Happens

We design the system topology, formulate API schemas, select foundation models or local endpoints, and architect secure middleware pipelines.

Client Inputs

API credentials, sandbox environment access, and approval of the proposed cloud/on-premise infrastructure layout.

Client Receives

Complete architectural diagram, schema documentation, security audit protocol, and data privacy confirmation.

04

Integration

We implement the designed solution, configure AI tools, set up integrations and deploy automated workflows into your live environment.

What Happens

We write custom connectors, configure webhook triggers, implement automated transformation logic, and deploy the AI pipeline in a staging environment.

Client Inputs

Verification of staging webhooks, sample transactions, and technical contact availability for integration questions.

Client Receives

Working staging deployment, real-time logging dashboard, and preliminary integration test reports.

05

Testing

We validate all components, workflows and integrations work correctly, perform security checks and optimize performance before full deployment.

What Happens

We run stress testing, edge-case failure simulations, automated latency audits, and coordinate User Acceptance Testing (UAT) with your team.

Client Inputs

Active participation in UAT scenarios, feedback on automated edge cases, and final sign-off on system accuracy.

Client Receives

UAT sign-off documentation, performance benchmark verification, and bug resolution logs.

06

Optimization & Documentation

We fine-tune configurations, provide comprehensive documentation and training so your team can maintain and enhance the solution independently.

What Happens

We transition code to production, fine-tune model parameters and token costs, establish automated backup routines, and deliver operational guides.

Client Inputs

Production deployment approval, credentials authorization, and operational team attendance at handoff walkthrough.

Client Receives

Production deployment sign-off, comprehensive system runbook, full source code and credentials handoff, and warranty support agreement.

Service Delivery Policy

Formal operational frameworks ensuring predictable milestones, explicit deliverables, and transparent accountability across all consulting engagements.

01
Binding Policy
Written Engagement Agreements

All project scope, deliverables, timeline and pricing are documented in writing before work begins. Changes to scope are handled through formal change requests.

All consulting projects commence only after both parties execute a formal Statement of Work (SOW). The SOW explicitly enumerates the agreed technical scope, required system access, milestone schedules, fixed pricing, and specific acceptance criteria. No verbal modifications are binding.

02
Binding Policy
Timelines & Milestone Tracking

Each project phase includes clear milestones and expected completion dates. We communicate progress regularly and adjust timelines if needed based on circumstances.

Project timelines are established during the Discovery stage and tracked against objective deliverables. While Apex Route Trading adheres strictly to agreed milestones, schedule adjustments may occur if client credentials, feedback, or data samples are delayed.

03
Binding Policy
Client Responsibilities

Clients must provide timely access to relevant systems, key personnel for consultation and decisions, and approval for changes. Project success depends on active client participation.

Timely project completion requires clients to provide necessary API keys, sandbox environments, domain access, and operational feedback within three business days of request. Delays in access provision automatically extend milestone dates.

04
Binding Policy
Review & Acceptance of Deliverables

Deliverables are reviewed with the client at each stage. Acceptance confirms the work meets specifications and moves to the next phase.

Upon milestone delivery, clients receive a five-business-day review period to test deliverables against agreed specifications. Any defects must be submitted in writing with reproduction steps and will be remedied promptly prior to final project sign-off.

05
Binding Policy
Third-Party AI Services & APIs

Many AI solutions use third-party tools and services. We transparently disclose these dependencies, any associated costs and data usage policies.

Our solutions frequently integrate third-party AI APIs (such as OpenAI, Anthropic, or specialized model providers). Clients maintain their own direct billing relationships with third-party providers. Apex Route Trading does not control third-party service uptime, token pricing changes, or model deprecations.

06
Binding Policy
Change Request Procedures

Requested changes beyond the original scope are documented and quoted separately. We prioritize stability and follow proper testing and deployment procedures for all changes.

Any expansion of scope beyond the executed SOW requires a formal written Change Order detailing additional hours, cost adjustments, and timeline impacts. Work on out-of-scope items begins only after mutual signature.
